workgroup tools

For some time I have been looking for some computer workgroup tools that will allow our team to work together more effectively. You would think this would be easy – but that is not the case when your environment is low budget and small. Most of the workgroup tools available like Microsoft Exchange are systems that not only require a dedicated server, expensive software but also need someone to have the time and the expertise to troubleshoot any problems.

So, I have been searching for something that would allow the following:

1. Sharing Calendars

2. Sharing Files

3. Sharing Contacts

Simple – yeah? The microsoft office suite is largely designed around single users working on their own computers and when they want to share files they use email. This is problematic for version control and other issues. The early reports of Office 12 which will be released this year illustrates this area of sharing and working within groups will be emphasized. But what about now?

I have found two programs that are free and seem to offer the required functionality.

1. Airset

This web based program allows you to share calendars, contacts, web links, discussion online. It has a syncronization system with Outlook, palm desktop so members of our team who use pda’s can utilize the system as well. So far it seems to be working well and the functionality is deep and getting better all the time. It ties into skype too!

2. FolderShare

This program allows you to create a folder and share it out to group members. This folder is then replicated on each members computer. Team members can add files and have it syncronized with the other team members computers. Microsoft has recently acquired the company

These two programs along with skype and msn messenger are sure to help us be more effective as a team.. well hopefully
